Running multiple agents, and multiple websites with a single system

Howard Cundey was established in 1968, and they have 5 offices in East & West Sussex, Surrey and London.

Ibbett Mosely started out in 1900, and have 13 offices covering Kent, Surrey and East Sussex.

In 2008, these companies formed an association and now have a network of offices covering a wide area of Kent, Surrey, Sussex and with London representation.


Problem

Ibbett Mosely and Howard Cundey required an agency software system that would deliver functionality including:

  • maintenance of property information, and marketing capabilities including email, post and website
  • a fully featured contact relationship management system to maintain and track clients and applicants
  • an electronic diary allowing centralised access for booking of viewings, valuations and other events
  • a web based system that required no additional servers or infrastructure and was cheap to maintain
  • a software system that could be customised to their specific requirements
  • the ability to cross market properties, both on their websites and through their agency software systems.

Both companies had used various agency systems in the past, and when the association was formed they were using different systems with no ability for integration or interaction.

Key to the association was the requirement of the software to provide a common system to both companies, allowing for interaction and cross marketing, but still retaining the security and privacy required by the Data Protection Act.


Solution

Evolvin was instructed to provide a common system to both companies, incorporating all the required features. This was accomplished by building on the extensive feature set of the Evolvin Agency Software, whilst customising it to the specific client requirements.

Being web based, the Evolvin Agency Software allows all staff, in all offices, across both organisations, to perform their daily duties without the need for servers or additional infrastructure.

Specific functionality was specified and developed for the two companies to cross market properties and share relevant information, without any need to duplicate effort or information, and in accordance with the Data Protection Act, and the clients policies.

The clients continue to benefit from upgrades to the Evolvin Agency Software, have committed to new websites and the adoption of social networking to increase their web presence.

The two companies now operate a common software system, with shared features and abilities.

This has reduced operational costs, and encouraged more integration within the association. Through cross marketing it has also increased the total number of sales across both companies.

The public user experience and the perception of the companies has been enhanced with the wider choice of property, and close working relationships fostered to provide cross marketing and vertical sales opportunities.
